As the Amendments Workflow is in progress, users have the option to send certain groups a draft or final copy of the requested revisions to the STIP. There are three levels of sending a copy of the revisions.
Submit Handout
In order for a user to submit a revisions handout to NCBOT (North Carolina Board of Transportation), the Revision Status must be either “Pending Regional Manager Approval” or “Pending STIP Unit Approval.” If the Actions Workflow is in one of these stages, the bottom left corner of the interface will host a Submit Handout button with the tooltip, “Submit Item N (Handout) for Board Review.” This will lead to a menu that resembles an email format, allowing the user to send out the PDF version of the Revision Handout to their selected parties.
The table outlines the email fields and their purposes.
| Field | Description |
| Send Message To |
Allows the user to select one or more recipients for the email message in the picklist. |
| Mark as Draft | Denotes that the Item N Handout is in DRAFT form only, if the checkbox is selected. |
| CC | Allows the user to enter 1+ email addresses to which the report will be sent for reference only. |
| Subject | Shows message subject; automatically filled based on the STIP Window and Item N (Handout) Month/Year. |
| Message | Contains the email message; will be pre-populated with the stored value but is editable. |
| Notify MPOs/RPOs | Allows users to optionally notify all or some of the MPOs/RPOs in the affected Revision. These checkboxes are unselected by default. |
Submit Final
Once the project revisions are in the "Pending Board Review (Handout)" stage, the user can submit a final report for Board Approval. The bottom left corner of the interface will have a "Submit Final" button now and a tooltip that reads "Submit Item N (Final) for Board Approval." The resulting email will contain the same components as shown on the Submit Handout table with a few minor content changes.
Revision Submittal
When the revision is "Board Approved," the bottom left of the interface will be populated by a Submit to FHWA/FTA button. This button will also lead to an email formatted pop-up window. The email fields will be similar to the Handout and Final layout; however, this email is tailored to FHWA/FTA members. It lacks the MPO/RPO checkbox area and includes an area fit for other PDF file attachments beyond the programmed Item N (Final) report and the Fiscal Constraint report that are already included.
Results
Once all Amendments are either approved or rejected, they are removed from the Revision tab and the Revision is closed. The Revision and its details are then available on the History tab and all changes are no longer highlighted in the Detail tab.
